How to Delegate Tasks With Ease (A Freebie)
Ever feel like you’re spending more time explaining tasks or going back and forth on how it should be done, than actually getting things done? Like you know you should be delegating, but somehow it takes so long to hand something off that you think, Ugh, I’ll just do it myself?
Or, you’re delegating tasks with ease, but things aren’t coming back how you’d envisioned the first time around, and the back-and-forth is eating away at time that you really need to spend elsewhere?
We get it. Delegating can feel harder than it should be — especially if you’re a busy small business owner or creative entrepreneur working with a virtual assistant (VA) for the first time or in a new capacity.
But here’s the thing: it doesn’t have to be that hard. If you’ve got someone helping you (or you’re planning to hire someone soon), we’ve got a simple, clear way to make sure your tasks actually get done the right way — without you having to clarify 5 times or jump in to “fix” it.
So, we came up with an acronym that you can use as a process to delegate effectively every time. (This is something we learned the hard way). And we turned it into a free resource for you! 🙌

Why Delegating Tasks Can Be a Huge Time Suck
Let’s be honest. Most of us want to delegate more — we know it’ll save time, reduce stress, and keep us in our zone of genius. But the actual act of delegating? Whole different story.
You assign a task.
They send it back, and it’s not quite right.
You explain again.
They redo it.
You still end up tweaking it yourself.
And suddenly you’re thinking, I could’ve just done this myself in less time. Sound familiar?
The truth is — it’s not that your assistant isn’t capable. It’s that they probably weren’t given enough clarity from the start and maybe didn’t know to ask for more information before beginning. And that’s not on you either! Most of us aren’t taught how to delegate in a way that actually works.
But once you nail down how to communicate tasks clearly? Game-changer.
That’s where C.A.T. comes in.
The Simple C.A.T. Method to Delegate Tasks Like a Pro
We came up with a fun, easy way to help you actually get tasks off your plate the first time. It’s called C.A.T. — because it’s easy to remember and it’ll save you and your assistant a ton of back-and-forth.
Here’s how it works:
C - Context
What’s the task or project?
This is where you give all the juicy details. What’s the goal of the task? Who’s it for? What’s the vibe you’re going for? Is there something you definitely don’t want? The clearer you are upfront, the less chance of miscommunication.
👉 Example:
“Can you create a social media post promoting our upcoming workshop? The vibe is casual, friendly, and community-focused. No emojis, and avoid using the phrase ‘hanging out’ — we prefer ‘spending time with one another.’”
The more context you give, the easier it is for your assistant to nail it.
A - Assign a Deadline
When do you need this done?
Is this a “whenever you get to it” task or do you need it done by Thursday at noon? Clear deadlines help your assistant prioritize your tasks (instead of guessing when you need it).
👉 Example:
“Can you get this done by Thursday at noon so I have time to review it before it goes live?”
Even if it feels obvious to you, your assistant doesn’t have the full picture of your week — so deadlines are a game-changer.
T - Tools
What tools or access do they need to complete this?
This is the part a lot of people forget! Do they need:
Login credentials?
A Canva template?
Access to a shared folder?
Reference photos or documents?
The faster you provide what they need, the faster (and more accurately) they’ll complete the task.
👉 Example:
“Here’s the link to the Canva template and our social media calendar. Let me know if you hit any snags!”
Boom. No more “Hey, where can I find…?” emails.
Why This Will Literally Save You Hours
Here’s the thing — when you use C.A.T. every time you delegate a task, you:
✅ Avoid vague instructions that lead to do-overs.
✅ Cut down on back-and-forth emails.
✅ Get tasks done faster.
✅ Free up your mental space (because you’re not constantly re-explaining things).
And here’s the kicker: you can even share this method with your assistant. Like, literally hand them the freebie and say, “Hey, if I ever forget to give you clear context, deadlines, or tools — ask me!”

Your assistant will love you for it — and you’ll love how much smoother things run.
Bonus: A Quick Self-Check Before You Delegate Any Task
Next time you’re about to hand something off, ask yourself:
Did I give clear context?
Did I assign a deadline?
Did I provide the necessary tools or access?
If you’ve got all three, you’re good to go. If you’re missing one? Pause and add it in. It’ll save you a lot of time and frustration later.
Pro tip: If you’re working with an executive assistant (EA) or virtual assistant (VA), encourage them to ask for missing C.A.T. details too! It’s a two-way street that leads to way better work, faster results, and less stress for everyone.
